How to Enter and Apply Vendor Credits in QuickBooks Online

Returns, core refunds and billing corrections belong in QuickBooks Online as vendor credits, not negative bills. How to enter them, apply them to open bills, and keep the right branch credited.

A parts distributor refunds a core charge, a returned rotor comes back for credit, or a vendor corrects an overbilled invoice. Each of these arrives as a credit memo, and each belongs in QuickBooks Online as a vendor credit (called a supplier credit outside the US). Entered correctly, it lowers the vendor balance and gets used against the next bill. Entered as anything else, it quietly distorts payables.

Enter the vendor credit

  1. Select + New → Vendor credit.
  2. Choose the vendor. Use the exact vendor record that holds their bills; credits do not cross between duplicate vendor records.
  3. Set the date and enter the vendor's credit memo number in Ref no. so it can be matched to their statement later.
  4. On each line, choose the category (expense account) the credit reverses, enter a positive amount, and add a description such as Core refund, ref INV-48211.
  5. If you track classes or locations, assign the same class or location as the original purchase. A credit coded to a different branch makes one branch look expensive and the other cheap.
  6. Attach the vendor's credit memo and save.

Amounts on a vendor credit are entered as positive numbers; the form itself tells QuickBooks they reduce what you owe.

Apply the credit to an open bill

Vendor credits are applied when you pay bills:

  1. Go to + New → Pay bills.
  2. Select the open bill from the same vendor.
  3. QuickBooks shows the available credit in the Credit applied column and reduces the payment by that amount. Adjust it if you only want to use part of the credit.
  4. Save. The payment covers the remaining balance, and the credit is marked as used.

If the credit is larger than the bill, the unused balance stays on the vendor record for the next bill.

When the vendor sends money back

If the vendor refunds by cheque or transfer instead of crediting your account:

  1. Enter the vendor credit as above.
  2. Record the money with + New → Bank deposit, choosing the vendor in Received from and Accounts Payable as the account.
  3. Use Pay bills (or Check, depending on your QuickBooks setup) to link the deposit to the vendor credit so both close out.

The goal is that the vendor balance returns to zero and the deposit is not counted as income.

Mistakes that throw off vendor balances

  • Negative bills. QuickBooks Online will not save a bill with a negative total, and netting a credit inside the next bill hides it from vendor reports and audit trails.
  • Credits on the wrong vendor record. Two records for the same supplier (Canyon Line Parts and Canyon Line Parts Distributors) is the most common reason a credit never gets applied. Merge duplicate vendors before entering credits.
  • Expense instead of credit. Recording a refund as income or as a negative expense skips the vendor ledger, so the vendor still shows the credit as unused.
  • Losing the reference. Without the vendor's credit memo number, month-end statement reconciliation becomes guesswork.

Keeping credits under control at volume

Credits are easy to miss when invoices and credit memos arrive in the same inbox and look alike. A credit that is filed as a bill, or never entered at all, means overpaying the vendor. AP automation for QuickBooks reads incoming documents, flags credit memos, and routes them for the same approval as bills. Our QuickBooks AP automation guide covers what to look for, and how to find and prevent duplicate bills covers the related problem of the same document entered twice.
