How to Find and Prevent Duplicate Bills in QuickBooks Online

Duplicate bills come from resent invoices, double entry and bank-feed matching mistakes. How to switch on QuickBooks Online's duplicate warning, find duplicates already in your books, and stop new ones.

A vendor emails an invoice, then a shop manager forwards the same invoice a week later. Both get entered. Unless someone notices, both get paid. Duplicate bills are one of the most common and most preventable leaks in a QuickBooks AP process, and QuickBooks Online has a built-in control that many companies never switch on.

Where duplicate bills come from

  • Resent invoices. Vendors resend unpaid invoices, sometimes with a new date or a "REMINDER" stamp, and the copy is entered as a new bill.
  • Two intake paths. The vendor emails AP while a branch manager forwards or photographs the paper copy.
  • Bank-feed double counting. A bill is entered and paid, then the bank transaction is added from the bank feed as a new expense instead of being matched to the bill payment.
  • Duplicate vendor records. The same supplier exists twice under slightly different names, so the bill-number check never sees the earlier bill.

Turn on the duplicate bill number warning

  1. Go to Settings → Account and settings → Advanced.
  2. In Other preferences, turn on Warn if duplicate bill number is used.
  3. Save.

From then on, QuickBooks warns when you save a bill whose bill number already exists for the same vendor. It is a warning, not a block: the person entering the bill can still save it, so make it a rule that a duplicate warning means stop and check.

The warning has blind spots. It does not catch bills entered without a bill number, numbers with a typo or extra prefix (INV-48236 vs 48236), bills on a second vendor record, or expenses added from the bank feed.

Find duplicates already in your books

  • Unpaid Bills report, sorted by vendor and amount: look for the same vendor with the same amount on nearby dates.
  • Transaction List by Vendor for your highest-volume vendors, filtered to bills: same amount and similar dates usually means a duplicate.
  • Bank feed review: in For review, a transaction that QuickBooks offers to match to a bill payment should be matched, not added. Adding it creates a second expense for money you already recorded.
  • Vendor list: sort by name and look for near-identical vendors. Merge them by renaming one to exactly match the other; QuickBooks offers to merge the records.

When you find a duplicate that has not been paid, void or delete it. If it has been paid, ask the vendor for a credit and enter it as a vendor credit.

Controls that stop new duplicates

  • One intake address. Route every vendor invoice to a single AP inbox so there is one path into the books.
  • Bill number is mandatory. No bill is saved without the vendor's invoice number, entered exactly as printed.
  • Check amount and vendor, not just number. Resent invoices sometimes carry a new number. A same-vendor, same-amount bill within a few weeks deserves a second look.
  • Separate entry from approval. The person approving a bill should see whether a similar bill is already open. Our guide to segregation of duties in AP covers how to split the roles in a small team.
  • Match, don't add, in the bank feed. Train everyone who reviews the bank feed to match payments to existing bills.

Automating the check

Manual duplicate checks depend on someone remembering a bill from three weeks ago. AP automation for QuickBooks compares every incoming invoice against recent ones from the same vendor (by invoice number and amount) and holds suspected duplicates before they reach QuickBooks. Nexus AP flags duplicates this way at intake; see the duplicate payment prevention use case and estimate your exposure with the duplicate payment risk calculator.
